How to Calculate How Many Boxes You Have to Store

Calculating Storage Volume

If you’re taking the step to utilizing the many benefits of a records storage service, first you’ll need to calculate the amount of documents you need stored. By figuring out the volume of documents you need stored, you can get a decent estimation of how much your storage project will cost.

We’ve seen papers stored in all sorts of ways, some better than others. From banker boxes to filing cabinets or storage rooms, records can be filed away for years and a company can understandably lose track of how many papers they actually have.

Below we’ve outlined the common methods of records and document storage and how to calculate the number of papers for them. Records storage makes organizing, storing, and keeping your documents secure easy by doing all the work for you.

Calculate How Much Paper You Have

Storing Paper in Banker’s Boxes (most common)

Bankers boxIf you’re using banker boxes to store your papers, you can convert the number of boxes by how many papers are typically stored in each box.

The dimensions for a standard banker box (also referred to as a copy box) is 12.5″ x 15.5″ x 10.5″.

Depending on the type of paper (certain types are thicker than others) and the amount of folders in each box, you can fit anywhere between 2,000 to 2,500 sheets.

Storing Paper in Large Files Boxes

Large file boxes will typically hold 4,000 to 4,500 sheets of paper. Again, this number varies based on the thickness of your paper and the number of folders.

A large file box’s dimensions will typically be 15″ x 24″ x 10.5″.

Measure Your Documents by Inches

1 inch = 250-300 sheets

If you have different sized boxes or have your documents stored in other ways, a simple calculation can be made by measuring your papers in inches.

For every inch of stacked sheets, there will be around 150 to 200 pages on average.

You can measure your papers in filing cabinets and drawers, or if you have boxes with dimensions not described above.
